As the E-rate filing window comes to a close, staying organized and confident in your final steps is crucial for maximizing your chances of success. If you’ve been navigating the process of filing one (or more!) Form 470, reviewing bids, or finalizing contracts, you know this period requires strategic focus. Here’s how to wrap up the E-rate season like a pro.

Make sure your procurement process follows all program rules.

Confirm that you’ve adhered to the 28-day bidding period and that your vendor selection is backed by solid documentation. An oversight here could delay your application or worse—disqualify it.

Filing Form 471 accurately is key to securing your funding.

Take the time to review every detail—the Category One and Category Two services, the funding request amount, and the service provider information. This level of attention ensures your submission reflects your actual needs and agreements.

E-rate success isn’t just about submitting your forms; it’s about proving compliance if you’re audited.

Keep all bid documentation, evaluation matrices, and signed contracts in an accessible format. Remember, it’s a requirement to retain all E-rate documentation for at least ten years after the last date of service received. This preparation will be valuable if USAC requests more information.

Don’t assume everything is set once you submit.

Reach out to your chosen vendor to ensure they are ready to provide services according to your timelines and make sure any required SPIN changes are addressed early. If you choose Service Provider Invoice (SPI) reimbursement, notify your service provider of your choice so funds are disbursed on time.
